Privacy policy
This policy explains what Rozmówka collects, why, how long we keep it, and how to get it deleted. We have tried to write it in plain language rather than boilerplate.
Last updated 23 August 2026 · Effective immediately for all users
The short version
- We collect your email address only when you give it to us, and we confirm it by email before sending anything else.
- We never sell, rent or share your email address with anyone for marketing.
- We never send unsolicited email. Every message we send includes a working one-click unsubscribe link.
- Voice recordings are used to generate your session feedback and are deleted within 30 days unless you save the session.
- You can ask us to delete everything we hold about you at any time by writing to privacy@rozmowka.com.
Who we are
Rozmowka Labs operates Rozmówka at rozmowka.com. Our registered office is at Tadeusza Czackiego 15/17, 00-043 Warszawa, Poland. For anything in this policy you can reach us at privacy@rozmowka.com. We are the data controller for the personal data described here.
What we collect, and why
| Data | Why we have it | How long we keep it |
|---|---|---|
| Email address | To confirm your waitlist place, send account and service email, and answer your support messages. | Until you unsubscribe or ask for deletion, then removed within 30 days. |
| Target language and learning preferences | To set up your account and tell you when your language is ready. | Life of your account. |
| Voice recordings | To transcribe what you said and generate your corrections, vocabulary and pronunciation feedback. | Deleted on a rolling 30-day window unless you save a session. |
| Transcripts, corrections and review schedule | To run spaced repetition across your words, corrections and sounds — we need your history to know what to schedule next. | Life of your account. |
| Basic usage and error logs | To keep the service working and diagnose faults. | 90 days. |
We do not use tracking cookies, advertising pixels or third-party analytics that profile you across other websites. We do not buy contact lists, and we do not add anyone to our mailing list who did not ask to be there.
How we handle email
This matters enough to spell out. When you submit the form on our home page, we store your address and send you a single confirmation message. If you do not click the link in it, we do not email you again and your address is removed after 30 days.
Once confirmed, you may receive:
- Transactional email — sign-in links, account changes, security notices, and replies to messages you sent us.
- Service updates — beta invitations, new languages, meaningful product changes.
Every non-transactional message carries a one-click unsubscribe link and honours RFC 8058 list-unsubscribe headers. Unsubscribes take effect immediately. You can also write to privacy@rozmowka.com and we will handle it by hand. We monitor bounces and complaints and remove addresses that hard-bounce or report our mail as spam.
Who else touches your data
We use a small number of processors to run the service. They act on our instructions, may not use your data for their own purposes, and are bound by contract:
- Amazon Web Services — hosting, storage and email delivery (Amazon SES). Data is processed in the EU and US regions.
- Our payment provider — only if and when you pay us; we never see or store full card numbers.
Where data leaves the European Economic Area we rely on the European Commission's Standard Contractual Clauses. We will update this list before adding a processor that handles your personal data.
Legal basis
Under the GDPR we rely on consent for marketing email, which you give by ticking the box on the form and confirming by email, and which you may withdraw at any time. We rely on performance of a contract to provide the service you signed up for, and on legitimate interests to keep the service secure and working.
Your rights
You can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or hand it to another provider. Write to privacy@rozmowka.com and we will respond within 30 days. You do not need an account or a particular form of words. If you think we have handled your data badly you may complain to your local data protection authority.
Security
Data is encrypted in transit with TLS and at rest. Access to production data is limited to the people who need it and is logged. If a breach affects your personal data we will notify you and the relevant authority as required by law.
Children
Rozmówka is not directed at children under 16 and we do not knowingly collect their data. If you believe a child has given us personal data, write to privacy@rozmowka.com and we will delete it.
Changes to this policy
If we change this policy we will update the date at the top of this page, and for material changes we will email registered users before the change takes effect. Continuing to use Rozmówka after that means you accept the revised policy.
